Partners can utilize Roster Account Provisioning or Full Roster Integration with Secure File Transfer Protocol (SFTP). SFTP set up and guidelines are discussed in SFTP Rostering Set Up Overview and OneRoster Integration Admin Guide.
Please see the following information for solutions regarding issues with SFTP rostering. If you are still encountering issues after reviewing this information, please do not hesitate to contact Summit K12 Support or Schedule an Onboarding and Rostering Tech Call.
SFTP Server Troubleshooting:
- Ensure you have administrative access to your Student Information System (SIS).
- Confirm you are using the correct host server address and port:
- sftp://sftp.summitk12.com (Port 22)
- Verify that you are using the correct SFTP credentials. If you do not have SFTP credentials, contact Summit K12 Support.
- Check that your path is set to "/files". You may choose to upload files in a single ZIP file (please omit underscores or other special characters from the file name).
- Configure the job to export nightly. Summit K12 begins syncing around 10 pm CST each night. We recommend files are scheduled to export at 7 pm local time. If unable to share data at this time, please contact Summit K12 Support.
SFTP Files Troubleshooting:
- Confirm that all required fields are included in the .csv files. All field headers (sourcedId, status, dateLastModified, etc.) must be included, even if data for those fields is not required.
- Many values in the exported files must match exactly to a sourcedId in another .csv file. Confirm that fields are correctly mapped to the appropriate sourcedId.
- Example: The courseSourcedId of a class shared in the classes.csv must match with a sourcedId of a course shared in the courses.csv.
- Check for typos or misspellings in field headers.
- Verify that files have been shared in .csv format.
- Confirm that you have included the School NCES ID #s in either the SourcedId or Identifier columns in the orgs.csv. If you do not know your School NCES ID #s, please contact Summit K12 Support
- Ensure you have filtered the files for the student population using Summit K12.
- Review files for duplicate sourcedIds or email addresses.
- Review files for special or null characters.
- Unsure how the files appear after exporting? Use an SFTP Client to view your files.
User Account Troubleshooting:
- If using Account Provisioning, SFTP will not automatically enroll students into classes on Summit K12. Please see the article on Enrolling Students and/or Support Teachers for instructions on how to enroll students into classes.
- SFTP will not automatically grant students Single Sign-On (SSO) access. This is handled by your district's SSO Admin. Summit K12 supports Clever, ClassLink, and Google SSO. Please see our Clever Single Sign-on (SSO) or ClassLink help articles for steps on setting up SSO access for Summit K12.
- SFTP will not delete accounts from Summit K12 if a user is removed from the files. To delete accounts or discuss options, please submit a support request to Summit K12 Support.
- SFTP will not update a student’s email address on the LMS if it has changed in the files; a new account will be created after the following sync. As accounts cannot be merged, please submit a support request to Summit K12 Support to discuss options.
- If using Full Roster Integration, and additional courses are shared in the export, please contact Summit K12 Support to manually update the course mapping in order for the newly added classes to be created.
